FAQ
What happens if I go over my monthly hours?
We track your package hours throughout the month and will let you know when you are approaching your limit. We will not continue adding extra hours without discussing it with you first. You can approve additional hours at the rate stated in your agreement, move lower-priority tasks to the next month, or discuss upgrading your package.
Can I switch packages later if my needs change?
Yes. If your ministry needs more or less support, we can review your workload and recommend a different package. Any change in hours, services, or pricing will be confirmed in writing and will normally take effect at the beginning of your next billing cycle.
Is there a setup fee or onboarding cost?
Standard client onboarding is included unless a separate setup cost is listed in your proposal. Projects requiring specialized software, complex system setup, migrations, or custom automation may have an additional one-time cost, but this will always be discussed and approved before work begins.
What if my assigned assistant isn't the right fit for our ministry?
Please speak with your team lead as soon as possible. We will listen to your concerns, provide additional guidance or training when appropriate, and determine whether another VA would be a better match for your ministry's needs, communication style, and schedule.
Do I need to sign a contract?
Yes. Before services begin, you will sign a service agreement outlining your selected package, included hours, scope of work, pricing, payment schedule, confidentiality terms, and cancellation conditions. This ensures that both your ministry and PWA have clear expectations from the beginning.
How do the "team lead hours" included in Stream, River, and above actually work?
Team lead hours are separate from your VA's regular task hours. They are used for planning priorities, coordinating the VA team, reviewing progress and important work, addressing concerns, and keeping your support aligned with your ministry's goals. Stream includes up to 30 minutes of team lead support each week, River includes up to one hour each week, and Ocean or custom plans may include up to two hours each week or another amount stated in the proposal. These hours support oversight and coordination and are not intended to replace your assistant's regular working hours.
